Who we’re looking for:

TanenbaumCHAT is currently seeking an Admissions Coordinator to join the team of Admission professionals. The Admissions Coordinator needs to be friendly and energetic as well as have excellent technical and communication skills. They should enjoy speaking with prospective families and answering questions about TanenbaumCHAT.

Reporting to the Associate Director of Admissions, the Admissions Coordinator will assist in all areas of enrollment management in an extremely fast-paced, customer-service driven environment. The Admissions Coordinator will maintain all database functions and ensure all data is accurate and current and that data is processed in a timely manner. This role requires an individual who takes initiative, has excellent technical skills and the ability to learn new database skills quickly, pays close attention to detail, can function effectively independently and as part of a team and who has excellent interpersonal skills.

Responsibilities includes but are not limited to:

  • Assist parents with submitting applications and payment arrangements as needed

  • Have discussions with parents about the benefits of a TanenbaumCHAT education

  • Address all questions regarding application and timelines

  • Attend Open House, Tour days, Orientation and other events as required (some events take place outside of regular work hours)

  • Liaise with faculty for logistics, set-up and food for admissions events

  • Provide technical support to parents and work closely with TanenbaumCHAT’s IT on any technical issues

  • Process applications and ensure documents are correctly submitted, labeled, and identified accordingly

  • Update, open and close the inquiry form and application according to timelines

  • Set up events in database and process registrations

  • Follow up on all missing documentation and forms

  • Create feeder school contact cards and link applicants

  • Assign files to interviewers

  • Process inquiries, wait pool applications and withdrawals

  • Enter all communication with parents into the database

  • Identify New Stream, CDL (Centre for Differentiated Learning) and ELL (English Language Learner) applicants

  • Ensure ELL testing is booked and completed

  • Enter all future prospects

  • Enter data required for the Ministry in the Admissions database

  • Close off year in database and rollover data for next recruitment season

  • Send all admissions broadcast messages including deadline reminders, placement letters and offers

  • Setup and process forms and offers, confirmations and declines

  • Manage all student lists and provide reports as required

  • Assist in the planning of Placement Tests, including sending all communications, managing student registrations, entering test results in database and attending Placement Tests

  • Order promotional materials

  • Coordinate the June mailing

  • Provide reports to Advancement, Business Office and Admin as required

Qualifications:

  • Undergraduate degree, college diploma or equivalent experience in recruitment, sales or customer service

  • Strong understanding of the GTHA’s Jewish schools and community

  • Advancement office or independent school experience an asset

  • Experience in event planning

  • Strong computer skills: Word, Excel, Powerpoint, Google docs, Google calendar

  • Ability to quickly learn to use new software programs

  • Excellent interpersonal, multitasking and organizational skills

  • Communication: strong verbal and written communication skills

  • Demonstrate attention to detail and follow-through
